Our client provided details of clinical trials through their corporate brand site, which included informative and educational material. Those individuals viewing the content often called to engage further, but it was likely that those seeking alternate channels of communication did not engage at all.
Once a dialogue had been opened, our client lacked the tools to capture contact information, categorize interactions, capture consent, and securely triage potential patients to clinical trial sites for eligibility assessment.
Mavens implemented a cloud-based solution that enabled self-enrollment into therapeutic programs.

Mavens deployed our Clinical Trial Recruitment solution, a HIPAA compliant, cloud-based application powered by Salesforce Health Cloud. Supporting contact center functionality was used to manage interactions and transition patients to clinical trial sites.
The solution integrated with the company’s brand-site to enable electronic self-enrollment into therapeutic programs. Enrollments are initially qualified by the contact center before obtaining consent. Once enrolled, the contact center agents are guided through business processes with task-based workflow to efficiently support patients throughout their educational journey.
A clinical trial site portal is then used to facilitate the transition of patients to specific sites. Sites can view pertinent patient information and confirm receipt in real-time. Should the site fail to reach the patient, the solution enables our client to offer assistance with patient re-engagement to reduce potential dropout rates.
The customer saw an increase in self-enrolled candidates only a month after launch.
After migrating over 500 candidates from the client’s legacy solution, Mavens helped match each candidate to the proper phase of interaction based upon their status and migrated data. Candidates were then placed on their path and reps were able to contact them with relevant information based on the stage of their patient journey.
Our client highlighted Mavens’ thoughtful approach to solution design, and less than a month after launch, over 15 potential clinical trial candidates were able to self-enroll via the website to request additional information regarding one of the customer’s programs. Due to the ease of enrollment and qualification, the customer’s reps are now able to focus on the important tasks of providing the candidates with the information they need in a timely manner, expediting their journey to clinical trial enrollment.
